Methods

Ellipse Insurance Inc. and its subsidiaries (“we,” “us,” and “our”) collect personal information through the following means:

  • Automatically when an individual (“you,” “your,” and “yours”) visits our website, which is accessible via the following hyperlink: www.ellipse.ca (the “Site”), in particular through the use of cookies and other similar technologies;
  • When you submit personal information on our Elli digital platform on our Site (the “Platform”);
  • When you log in to your Ellipse Customer Portal, which is accessible only to our customers (the “Customer Portal”);
  • When you apply for a job posting on the website carriere.ellipserecrute.ca;
  • When you provide us with personal information through the Site, the Platform, and/or the Customer Portal (hereinafter collectively referred to as our “Digital Tools”) and through our profile on any third-party platform (e.g., social media, contest pages, quote request pages, etc.);
  • When you communicate with our authorized representatives (in-person communications, videoconferences, emails, instant messaging, phone calls, faxes, etc.).
Purposes

We may collect personal information about you for the following purposes:

  • To identify you so that we can interact with you appropriately;
  • To open an internal file in order to (i) provide you with insurance brokerage and/or financial services (collectively, the “Services”), (ii) perform the Services you have requested based on our service offering, and (iii) review your application in connection with a job offer;
  • In connection with the provision of the Services: (i) to identify the most appropriate products based on your situation (based on the personal information you provide to us); (ii) to facilitate the conclusion of contracts between you and the relevant insurers, wholesalers, and/or partners; and (iii) to communicate with you on an ongoing basis to inform and advise you regarding the products you have purchased;
  • To communicate with you to provide information related to our company and/or the Services;
  • To communicate with you in order to follow up on your application, obtain additional information regarding your application, and/or inform you of any decision we have made regarding your application;
  • To process any request or question you submit to us, including communicating with you regarding the processing of such a request or question;
  • To process any transaction (business transaction) you conduct with us;
  • To improve and develop the Services, in particular by communicating with you to obtain your feedback and by generating de-identified statistical data based on that feedback;
  • To process the job application you submit to us, whether it is an unsolicited application or one related to a job posting we have published;
  • To enable us to fulfill our obligations and exercise our rights as your employer or in any other capacity;
  • To allow you to access our Digital Tools;
  • To measure changes in the popularity of the various components of our Digital Tools;
  • To identify the technology you use when accessing our Digital Tools (such as your operating system, browser, and device type and model) in order to assess compatibility between them and improve their overall accessibility;
  • To identify the websites from which you access the Site in order to evaluate the number of referrals received;
  • To identify the country from which you wish to access our Digital Tools in order to verify whether access can be granted to you in accordance with applicable law.
Communications

We may provide access to, or disclose personal information about you to, the following categories of individuals and entities:

  • To our employees and representatives who need access to this personal information to fulfill one or more of the purposes listed above (see Section 4 of this Policy);
  • To insurers, wholesalers, and/or partners from whom you wish to obtain a quote or enter into a contract in connection with the provision of the Services, in particular to (i) allow the insurer, wholesaler, or partner to determine whether or not to underwrite the risk and (ii) if applicable, prepare the contract.
  • To our external service providers who need access to this personal information for the purpose of performing a service contract or engagement entered into with us (see Section 4 of this Policy), such as: Azimut Lab, Koios Intelligence, InputKit, Kimoby, Applied;
  • To your past and current employers, as well as any institutions you may have attended, in order to verify the truthfulness, accuracy, and completeness of any information provided in connection with a job application you have submitted to us, and to obtain additional information from these entities, if necessary; and
  • To any other person or entity, when required or permitted by applicable law, or upon obtaining your prior consent to the proposed disclosure.
Important Information

There is a possibility that we may disclose some of your personal information outside of Quebec.

Although our operations are primarily conducted in Quebec, some of our service providers, technology partners, and insurers may be located outside of Quebec or may host personal information there. We pay particular attention to the location of our customers’ personal information and have implemented a review process governing any disclosure of or access to such information outside of Quebec. This process includes, where required, conducting a Privacy Impact Assessment (PIA) to ensure that personal information is adequately protected in accordance with applicable legal requirements.

When you use our Digital Tools, personal information is collected using technology that includes features enabling us to identify you, locate you, and profile you. The collection of personal information for identification, location tracking, and profiling purposes is disabled by default. You can enable these features by giving your express consent, either by clicking the appropriate button in the pop-up window that appears when you access our Digital Tools.

Your Rights

The Act respecting the protection of personal information in the private sector (RLRQ, c. P-39.1) grants you the right to access, correct, and withdraw consent regarding the personal information we hold about you. For more information regarding the aforementioned rights, please refer to Section 6 of this Policy.

You may also file a complaint regarding our processing of your personal information by following the instructions provided in Section 7 of this Policy.

Consent

By using our Digital Tools, you consent to our collection, use, disclosure, retention, and destruction of your personal information in accordance with this Policy and our privacy policies and practices.
